In my first year handling equipment procurement for a mid-sized aggregate producer (2019), I made the classic rookie mistake: I picked the cheapest quote for a sand screw. The unit price was 30% below the next bid. I thought I was a hero. Fast forward 18 months — that decision cost us roughly $47,000 in unplanned downtime, rushed parts, and lost production. The total cost of ownership (TCO) ended up higher than any other option on the table.
I’ve now personally documented over a dozen significant procurement mistakes totaling about $320,000 in wasted budget across feeder breakers, filter presses, and classification equipment. - Downtime risk when a critical component fails
I learned this the hard way on a feeder breaker purchase in Q2 2022. The low bidder’s unit was $22,000 cheaper than the nearest competitor — but their closest service center was 800 miles away and we had to wait 6 weeks for a replacement bearing. The belief that a nearby supplier always means faster delivery and lower hidden costs comes from an era without modern global supply chains. Today, a well-established global manufacturer with regional warehouses and local service partners (like McLanahan, with facilities in the US, UK, India, and Australia) can often beat a disorganized local provider on both lead time and total cost.
Why? Because they’ve invested in inventory, standardized parts, and trained technicians across multiple continents. A local shop that builds one-off equipment may not have replacement seals in stock. A global OEM does. That’s a real cost advantage — not just a line item on the quote.
3. The cheapest often hides the risk of “orphan” equipment
I once went back and forth between a well-known filter press manufacturer and a new entrant offering 25% less. The new entrant’s specs looked fine. My gut said to go with the established name, but my budget said otherwise (ugh). I chose the cheaper one. The machine ran okay for about 18 months. Then the hydraulic pump failed. The company had gone out of business in year two. No spare parts. No drawings. No support.

- Calculate maintenance contracts. Some vendors include 5-year service plans in their TCO bid; others charge per visit.

- Spare parts availability — guarantee of critical spares for 10 years
- Service response time — maximum hours to on-site support

- Energy efficiency — motor rating, expected kWh per ton
- Training — operator and maintenance training hours
- Warranty exceptions — what voids it (wear parts? misuse?)
- References — at least three similar installations, with contact info
I used to skip these. Now they’re non-negotiable.

The “always bought on price” thinking comes from an era when margins were fatter and equipment was simpler. That’s changed. Modern mineral processing equipment is more efficient but also more specialized. A sand screw or feeder breaker today involves advanced materials, hydraulics, and controls. Cutting corners on the supplier’s quality or support means cutting into your own margins — and your uptime.
I’m not saying you should never buy from a low bidder. Some low bids genuinely reflect efficiency, not risk. But verification is not optional. And if you’re ever torn between a slightly higher quote that includes service guarantees and a cheap quote with no details, ask yourself: “Can I afford to be wrong?”
